I: Call to Order 8:08 pm

II: Secretary- Beth Teehan

  • Review Meeting Minutes
  • Motion to pass minutes for the July 2023 KTABC meeting-A. Cammack
  • Second Motion to pass-L. Thompson
  • Motion passes with 0 opposed

IIIa: Directors’ Report- Charlie Woods

  • Fight camp started 2 weeks ago. Half of the weapons have arrived, and the rest should arrive by Friday or Monday at the latest.
  • Reviewed weapon safety precautions including the use of stage weapons with blunted edges, Safety Zones, and the use of fight captains, armorer, or Mr. Woods to check weapons in and out. This is a zero tolerance policy and students will lose the right to use weapons if not followed.
  • Will need bouncers at each show along with in-person announcements by Mrs. T to help with keeping the doors closed during the show due to safety issues with coming and going in the Black Box during combat scenes.

IIIb: Director’s Report- Katy Tagliabue

  • Already started costumes, open call for student or parent volunteers
  • NY trip interest meeting Aug 18 @ 6pm reminder
  • The first-ever district officer day at KHS went really well. 48 students total participated, ice cream bar went over well.

IV: President - Michelle Owens

  • Theatre Jam starts at 6 pm, cooking team arrive at 4 pm. Hope to hold event in Black Box
  • A. Cammack offered to do the shopping
  • KTABC board members will be introduced at parent meeting, Alan to speak about fundraising
  • Three Musketeers and Bright Star seat auction at the end of the meeting. Need ticket maps from Mr. Woods

  • Chocolate Sales
  • Arriving August 22, start passing out chocolate bars at Theatre Jam, runs for 2 weeks.
  • Board emails need to be utilized. If you have been assigned an email, you must ensure you are able to login, change the name and photo, and check it regularly. This email will be passed on to whoever follows you on the board.

V: Treasurer’s Report- Joanna Vasco absent, reviewed by Michelle

  • Overview of accounting-current balance $19,336.35; with pending expenses and income and <$4,000> = $11,281.29
  • Pending expenses include 2 scholarships of $750 each, fabrics at $197.64 and $1856.77, SquareSpace fees.
  • Show fees starting to come in
  • 2023-2024 budget reviewed including proposed income and expenses, will review with the members at Theatre Jam (see attached)

VI: 1st VP Communications- Kelley Willis

  • KTABC new logo reviewed. Duffle bags and sweatshirts on sale on the website starting at Theatre Jam for 2-3 weeks. Great for use at OAP and Thes Fest.
  • New ticketing systems being reviewed. 4 options to compare to our current Neon One system. Hoping to have Will Call, printable tickets, and no-fees for the board.

VII: 2nd VP Membership- Leslie Thompson

  • Proposal made to lower the membership fees to increase member numbers
  • Current fees: $35/family, $30/individual
  • Proposed fees: $15/family, $10/individual
  • Motion to pass lower fees as above - A. Ceron

  • Monthly newsletter in the works
  • Will have a budget meeting with all parents at Theatre Jam so they can be exposed to the board and what we do

VIII: 3rd VP Fundraising- Alan Ceron

  • Sponsor so far $500
  • 6 of our proposed 10 Vendors for Car Show have committed, $50 donation plus an item to raffle. Working with Porsche to sponsor the event as well
  • Tickets were donated to the Alley Theatre
  • Andrea Cammack’s friend donated a suite at the Toyota Center for any event and Rockets tickets
  • Shelly’s friend donated 3 Musketeer Bars, will make candy bouquets for the shows
  • Jean Halls’s mom Aisha will make a T-shirt quilt for raffle using show shirts at Bright Star. Please consider donating shirts for any shows over the past 4 years in good condition.

IIIa: Directors’ Report- Charlie Woods

  • Fight choreography finished on Saturday, working on increasing speed
  • Everything running smoothly with set and props

IIIb: Director’s Report- Katy Tagliabue

  • NY trip deposits in, total of 52 will be attending trip, clarified this will be a “KISD” trip so okay to post on social media and will follow all KISD rules
  • Reminder that the long sleeve jackets and duffel bags are still on sale
  • Playbill bios almost finished, headshots were done today
  • OAP rule changes necessitate earlier choice, picking now

IV: Treasurer’s Report- Joanna Vasco

  • Overview of accounting-current balance as of 9/1/23 is $25,766.59; with pending expenses and income and <$4,000> = $9,784.12
  • Pending expenses include Csz shirts and show fees, theatre shirts, and sales tax
  • Other expected upcoming expenses include Bloody Sat meal, Sat of show week midday meal, and Mrs. Smith’s wages
  • Other expected upcoming deposits include chocolate sale proceeds, Three Musketeer ticket and concession sales

V: President - Michelle Owens

  • Blood Saturday 9/30
  • Beth Teehan assigned as Point-of-Contact for this meal, will price different options for Pasta Bar vs Baked Potato and Salad Bar
  • Alan Ceron will look into low or no cost catering options from Midway as a sponsor donation
  • Directors estimate 50 students total including cast and run crew for 9/30
  • Three Musketeers 10/5-10/7
  • Each show will need 2 people in the Box Office, 2 in Concessions, 2 running the Auction/Raffle table, and 2 floats, one of which will serve as security/bouncer for the door after the show starts
  • Leslie Thompson with create a Sign-Up Genius for scheduling
  • Concessions Sign-Up Genius needs to be posted on site and emailed to parents by Mrs. T
  • Andrea Cammack will organize the lobby decorations and plans to decorate during the middle school performance on Wed night. Everything needs to be moveable during school hours
  • Saturday 10/7 meal to be between the two shows rather than during strike

VI: 1st VP Communications- Kelley Willis

  • Solicited interest in assisting with playbill next year, Andrea Cammack will manage this. Brandie Joy to host a presentation and review instructions in late October.
  • Membership newsletter needs to be finalized and sent to directors for approval

VIII: 3rd VP Fundraising- Alan Ceron

  • Chocolate Sales
  • All boxes have been claimed, 82 are still out pending payment
  • Car Show 10/21, 8 AM start time so 6-7 AM arrival
  • 6 of our proposed 10 Vendors for Car Show have committed, $50 donation plus an item to raffle. This will occur every half-hour to maintain engagement
  • Still working with Porsche to sponsor the event as well, have asked for a $10,000 donation.
  • Will need 2 people on registration-Joanna, Kelley, and A. Catena all will be trained, 2 people on concessions-Beth and Stephne, Luis on DJ, someone managing raffle ticket sales, at least 4 people on cars-George, Doug, Rob, Lane. Alan will serve as vendor Point-of-Contact, MC, and float as needed.
  • May need 2-way radios for the car team to communicate or everyone get an app like Two Way or Zello
  • Students still planning to sing at event and do face painting, temporary tattoos
